The benefits of EDI include:
Reduction in document processing costs: The elimination of paper-based
documents also eliminates costly functions and tasks in an organization including faxing,
printing, re-keying, paper costs, etc. Organizations can manage by exception rather than
manually review all documents.
Increased Data Accuracy: Utilizing EDI eliminates the errors that can
occur from redundant manual data entry.
Reduction in personnel costs and better use of personnel: EDI has
helped to displace many of the labor-intensive duties associated with collecting, sending
and receiving information. The displacement of many of the labor-intensive duties has
allowed companies to increase information handling activities without an increase in labor
cost. EDI has helped companies automate tasks, relocate people to other tasks, and gain a
productivity edge.
Improved speed of communication: Electronic transmission of business
data compresses cycle time. Details of transactions are sent, received, evaluated and
processed in a fraction of the time usually associated with manual business processes. The
entire ordering and receiving cycle is shortened considerably, permitting higher
productivity in manufacturing, delivery systems and customer support. Organizations are
now capable of controling certain logistical processes in real time.
Better customer service: Customer service can be improved in the
following areas:
Reduction of time delays
Provision of more accurate information
Provision of new services
Gained competitive advantage/reinforce competitive position: The
implementation of EDI could be applied to improve the current competitive position or to
alter the current industry structure. EDI allows companies to reduce the cost of
transactions along the supply chain, and at the same time to differentiate themselves from
the competition by increasing the information intensity of either products or processes.
This will lead to comparative efficiency through the increase of both internal efficiency
as well as interorganizational efficiency.
Improved internal processes: Implementing EDI provides both a chance
and a necessity to re-engineer and improve the internal operations. Generally, business
processes are reviewed, evaluated and improved to work with the new automated systems
process. Also, internal systems can be fully integrated with the use of EDI.
Better supply chain management: The term supply chain is used to refer
to the chain linking each element of the production and supply process from raw materials
to the end customer. Supply chain management looks across the entire chain, rather than
just to the next entity or level. Better supply chain management means better coordination
of business processes and activities, such as inventory management across the entire
chain, not just between a few channel pairs. One of the reasons for managing the entire
supply chain is to increase customer service. EDI has the ability to quickly and
efficiently move data electronically between trading partners. This increased speed of
communication allows the parties in the chain to receive information about customer
demands sooner. Secondly, the relevant parties in the chain are more timely informed when
something goes wrong, and subsequently can react to the problem sooner. EDI also improves
the content of the message due to the structured format. Parties in the supply chain will
understand each other better, so that ultimately the customer is served faster and more
efficient.
Improved invoicing: The direct benefits of EDI in the financial area
can be significant. By reducing communication times, and by automatically matching
invoices with the actual performance, several costs can be reduced. The speed improvement
for communication makes it possible to send invoices sooner and shortens the payment
cycles. By receiving the invoice in a timely manner, the buyer has the opportunity of
taking advantage of discount terms offered, thereby paying less for the product. The
seller, in turn, can receive payments sooner, improving their cash position and allowing
them to pay less for supplies by also taking advantage of discount terms. By shortening
the invoice / payment cycle, money can be saved on interest and loans.
